M-Files setup has two stages. An organization administrator connects and maps the vault, then users import or link the relevant M-Files customers as Didyma clients. Connecting the vault does not automatically link every existing client or move every document to M-Files.

Before you start

Obtain the M-Files base URL, vault ID, and an approved username and password from your M-Files administrator. Identify the M-Files customer property that associates documents with a customer.

If uploads must use specific classes or metadata, also gather the required document types and property definitions before configuring Didyma.

1. Configure M-Files for the organization

An organization administrator should:

  1. Open Settings.
  2. Go to Document Storage.
  3. Choose M-Files as the storage provider.
  4. Select Configure.
  5. Enter the Base URL, Vault ID, Username, and Password.
  6. Select Connect.
  7. Choose the Customer Property that links documents to clients.
  8. Configure Document Types and their upload metadata when needed.
  9. Select the Document View used to retrieve documents.
  10. Review Access Control, including any Restricted customers.
  11. Save the configuration.

For each configured document type, map the class and the required or optional M-Files properties that users must complete during upload.

After the organization connection is ready:

  1. Open Clients.
  2. Open Import and choose M-Files.
  3. Select the customers to add.
  4. Confirm the import.

Didyma creates business clients linked to the selected M-Files customer identifiers. Customers already linked in Didyma are filtered out.

An existing client that is not linked to an M-Files customer continues to use Didyma’s standard document storage. Organization-level M-Files setup does not silently relink it.

Upload documents

Open Documents for an M-Files-linked client and upload files. Didyma can ask for the configured document type or class and its required and optional properties.

Folder upload is disabled for M-Files storage because every document may require M-Files metadata. Upload files through the supported flow and complete the requested fields. For other document-workspace behavior, see Upload and organize documents.

Restrict selected customers

Use Restricted customers when M-Files documents for selected customers should be available only to organization administrators. This is an M-Files document-access control and is separate from a Didyma client’s All members or Limited visibility.

Review both controls when access matters. See Manage client permissions.

Important unlinking behavior

The unlink action for an M-Files-imported client removes the client’s data from Didyma. It does not modify or delete the source documents in M-Files.

Before confirming an unlink, check that you selected the correct client and understand which Didyma records will be removed. The fact that the M-Files documents remain does not make deleted Didyma engagement data recoverable through this action.

Troubleshooting

  • If Connect fails, verify the base URL, vault ID, credentials, and vault access with the M-Files administrator.
  • If customers do not appear during import, confirm the mapped Customer Property and that the customer is not already linked.
  • If documents are missing, check the client link, customer-property value, selected Document View, and access restrictions.
  • If upload metadata is incomplete, review the configured document type, class, and required properties.
